Test the unhappy path.

Include a property outside the service area, missing gate access, uncertain measurements, weather delay, crew callout, material substitution, customer change, failed payment, and return visit. A workflow that only models the perfect recurring mow will hide the expensive work.

Keep property truth attached.

The address alone may not carry gate instructions, pets, irrigation zones, hazards, preferred access, service history, photos, measurements, plant or turf notes, chemical restrictions, recurring schedule, equipment needs, and customer communication preferences. Decide which facts belong to the property, service agreement, or individual visit.

Measure handoff time and re-entry.

For one lead, count how many times staff retype the address, scope, price, appointment, crew notes, completion status, and invoice details. Record waiting time between stages. Repeated typing and invisible queues often reveal a better automation target than replacing the entire operating system.

When a lead is incomplete, an estimate expires, weather interrupts the route, a crew reports a scope mismatch, or billing cannot reconcile, name who sees it, what they need, the response target, and how the item leaves the exception queue.
